Odoo ERP for Ashbilia Contracting. From manual records to one system.

Digital Cubic implemented Odoo ERP for Ashbilia Contracting LLC, a UAE contractor that had no system before. Accounting, purchasing, employees and inventory now run in one connected system.

The situation

Where Ashbilia started.

A contractor with no system, where every record was kept by hand.

  • No system, everything manual

Ashbilia Contracting kept its accounts, purchasing, staff records and stock by hand. There was no shared system for any of them.

  • The same information typed several times

A purchase meant a record for the order, another for the stock received and another for the accounts. Each one was written by hand, so each one could differ.

  • Answers meant looking through files

A simple question, such as what was ordered from a supplier or what is in stock, meant going through manual records rather than opening a screen.

  • A contractor needs stock and cost under control

Contracting depends on buying the right materials and knowing what has been bought, received and paid for. Without a system, that picture is slow to build and easy to get wrong.

What we delivered

Four modules, one system.

Described in standard Odoo terms. The exact configuration is agreed with each client.

  • Accounting

In standard Odoo terms, the accounting module keeps the ledger, customer invoices, vendor bills, payments and financial reports in one place, so financial records no longer live in separate files and notebooks.

  • Purchase

The purchase module takes a request through a quotation to a purchase order and a vendor bill, with supplier records kept in the system, so each purchase has one record from start to payment.

  • Employees

The employees module holds the employee directory with departments and job positions, so staff records are in one place instead of scattered files.

  • Inventory

The inventory module records products, stock locations, receipts and deliveries, and stock movements, in the same system as purchasing and accounting, so what is bought and what is held can be compared.

How it works day to day

One purchase, one record.

The route a purchase follows once the four modules work together.

  1. A purchase is raised

The request and the purchase order are recorded in the system, with the supplier.

  2. Goods are received

Receipt into stock is recorded against the same order, so stock reflects what arrived.

  3. The bill is matched

The vendor bill is linked to the order and the receipt, so accounts follow from what was bought and received.

  4. Payment and ledger

Payment is recorded in accounting and the ledger updates, with a trail back to the purchase.

  5. Management sees the picture

Reports for purchasing, stock and accounts draw on the same records.

Result

What changed.

The change is from no system to one connected system.

  • From manual to one system

Ashbilia had no system before. Everything was manual. Accounting, purchasing, employee records and inventory now sit in one connected system.

  • One record per transaction

A purchase, its stock and its accounting entry are linked, so the same information is not typed again in each place.

  • Records you can search and check

Questions that meant going through papers and files can be answered from the system.

  • Purchasing, stock and accounts that agree

Because they share records, what was ordered, what was received and what was paid can be compared directly.

Value added

Who benefits.

  • For management

A current, shared picture of purchasing, stock and accounts, in place of figures that had to be collected by hand. Decisions rest on the system's records, not on whoever last updated a file.

  • For finance

Accounting entries follow from the purchase and stock records, so the ledger and the operation agree and fewer entries are keyed twice.

  • For purchasing and stores

Orders and stock movements are recorded as they happen, with a trail for each, so it is clear what was ordered, received and issued.

  • For HR and administration

Employee records are kept in one place instead of scattered files, which makes them easier to find and keep current.

Why this matters for similar companies

If your records are still manual.

  • Contractors still on manual records or spreadsheets

Moving purchasing, stock and accounts into one system is often the first step that makes the rest of the operation easier to control.

  • Growing companies

A shared system lets a company add staff, suppliers and transactions without multiplying files and re-keying.

  • Companies choosing between an off-the-shelf ERP and custom software

For accounting, purchasing, inventory and HR, an established ERP such as Odoo often fits well. We tell you honestly in the discovery call whether it does, or whether your workflows need something built.
