How We Engage
Reaching out should not feel like a commitment. Before there is a number on the table, there is a conversation about your workflow and whether we are the right team to build it. This page shows exactly how an engagement with Digital Cubic works — from the first call, to the system running in production, to the support relationship after. We build tailored systems the way we build Arkan, Vloud, and ErrorLens: architecture first, shipped in modules, deployed and operated with production discipline. If that is what your operation needs, the way in is clear — and it starts with one conversation.
Built the way we build our own products
Every engagement runs on the same method we use to build and operate our own products. It rests on three commitments.
Architecture first. We design the system before we write features — data model, roles, permissions, approvals, integrations, reporting, and the failure cases, decided early in diagrams you can actually read. This is where rework gets removed. A system that is architected well can grow; one that starts with screens breaks after the first wave of change.
Shipped in modules. You do not wait months for one launch. We break the system into usable parts and release them in controlled stages, so your team is working in real software — and giving us real feedback — long before the full scope is done.
Deployed and operated. We do not hand over a code drop and walk away. We can deploy the system, host it, monitor it, and keep it reliable in production. The same discipline that keeps Arkan and our own stack running is the discipline we bring to yours.
What happens after you reach out
You send a short note about what you are trying to build or fix. No brief, no tender document, no polished requirements — a plain description of the problem is enough.
From there:
- A discovery call. 30 to 60 minutes. We listen to how your operation runs today — the spreadsheets, the approvals over WhatsApp, the reports that land late — and where it hurts. No slide deck. If we are not the right team for the problem, we say so on that call.
- Shape and scope. If it is a fit, we write back what we heard: the workflows in play, what a first module could be, and how we would sequence the build. This is where a vague idea becomes a shape you can decide on.
- A proposal you can read. Clear phases, what each one delivers, and how the investment is structured — all before any commitment.
Talking to us does not lock you into anything. Most engagements here start with one honest conversation.
Shipped in modules, not one big launch
The big-bang launch — one date, one delivery, everything at once — hides risk and pushes all your feedback to the end. We do not build that way.
We architect the whole system up front, then build and release it in modules. The first usable module reaches your team in weeks, not at the close of the project. Each release is real, production-grade software your people can use — not a throwaway demo.
That does three things. It puts value into the business early. It lets your team steer the build while direction is still cheap to change. And it proves the architecture under real use as the system grows. You always have visibility into what has shipped, what is next, and why.
After launch: the operate relationship
Delivery is not the finish line. A system that runs your operation has to keep running.
Through Vloud, our cloud operations layer, we can host and deploy the system, monitor it in production, and respond when something needs attention. ErrorLens gives us issue visibility, so problems get found and fixed with engineering, not guesswork.
Operate is a choice, not a trap. Some clients run the system on their own infrastructure with their own team — we hand over clean, documented, maintainable code and support the transition. Others keep us on to host, monitor, support, and keep improving the platform as the business changes. Both are valid. What we will not do is disappear the day the code ships.

investment
Digital Cubic is a premium engineering partner, not the lowest bid. We price for systems built properly and built to last, not for the cheapest hours on the market. If lowest cost is the deciding factor, we are honestly not the right fit.
Engagements are scoped per phase and per module, so you commit in steps rather than to one large open-ended number. What drives the investment is the shape of the work: how many workflows and modules the system covers; how complex the integrations are across finance, ERP, HR, and existing tools; whether data has to be migrated from legacy systems; how many user roles and approval paths are involved; the depth of any AI features; and the security and compliance requirements. Systems that reuse proven Arkan foundations move differently from a fully bespoke build. Ongoing hosting and operate is scoped separately from the build.
After the discovery call and shaping, you receive a written proposal with clear phases and what each one delivers — so you can self-qualify before committing to anything.
ownership & operate
You own the code and the IP. What we build for you is yours — source code, architecture documentation, and the right to run it, change it, or take it to another team. There is no lock-in written into the software.
Operate is a separate, ongoing relationship you opt into, not a condition of ownership. When you choose it, it can include hosting and deployment through Vloud, production monitoring, issue response backed by ErrorLens, security and dependency updates, backups, and continued improvement of the platform as your operation evolves. If you would rather run it yourself, we hand over documented, maintainable code and help your team take the controls.

Who we are — and are not — the right team for.
A great fit if: you run a construction, real estate, or project-driven company, or an operations-heavy business in the GCC, and your workflows have outgrown spreadsheets, WhatsApp approvals, email, and disconnected SaaS. You want a system built around how your operation actually works, in Arabic and English, and built to last — and you value it being done properly over being done cheapest. You are ready to invest in architecture, not just screens.
Not the right fit if: you want the lowest possible quote, a quick throwaway build with no thought for what comes after, or a pool of hourly developers pointed at a feature list with no architecture behind it. If you need a simple marketing website or a one-off script, there are faster and cheaper places for that — and we will say so.
Size is not the barrier. A focused first module for a smaller operation is a real engagement. Seriousness about the problem is what matters, not headcount.
